This article explains how recruiters can identify and manage situations where either candidates or interviewers do not show up for their scheduled interviews. The platform provides real-time status updates, escalation notifications, and post-interview summaries to help recruiters take timely action.

Step-by-Step Walkthrough

1. Check No-Show Status in the Table View

  • Login as a recruiter and select the workflow and open the Interview step.
  • In the table view, check the candidate and interviewer status:
    • Joined – Participant is present in the interview room.
    • Not joined – Participant has not joined.
    • No Show – Participant did not attend the interview during the scheduled time.

2. View No-Show Details in the Side Panel

  • Click on the interview card for any candidate.
  • In the side panel, you will see the real-time join status (Joined, Yet to Join, No Show) for both the candidate and interviewer.

3. Automatic Escalation Notifications

  • If one participant joins but the other does not join within 5 minutes after the scheduled start time, the system automatically sends an escalation email to the interview organizer (recruiter).
  • This allows the recruiter to quickly intervene, contact the missing participant, and decide whether to reschedule or continue waiting.

4. Post-Interview Summary Email

  • After the interview ends, a summary email is automatically sent:
    • To the organizer (recruiter): Shows who attended, who were marked as no-shows, and overall attendance details.
    • To evaluators: Shows their own attendance status and the attendance status of other participants.
  • Based on this summary, the recruiter can decide whether to reschedule the interview if critical participants did not attend.

5. Follow-Up Actions

  • If the candidate is a no-show:
    • Reach out via phone, email, or offline channels to confirm if they faced any issues.
    • Decide whether to reschedule or close the interview step.
  • If the interviewer is a no-show:
    • Contact the interviewer or assign a backup interviewer if possible.
    • Communicate with the candidate to manage expectations and reduce frustration.
Always review the post-interview summary email to confirm attendance details. If key participants were no-shows, you can reschedule directly from the workflow to ensure the interview process stays on track.
